Assign or Reassign Equipment to a Trip in WaveRez

How to assign a piece of equipment to a trip, share one equipment record across two trips, and update the schedule so availability calculates correctly.

Equipment in WaveRez is what makes a trip bookable, and the same equipment record can be assigned to more than one trip so that availability is shared between them. This article explains how to assign equipment to a trip, how to reassign two trips so they use the exact same equipment record, and the two settings you must check afterward so availability calculates correctly. There are two places to manage equipment assignments: from the trip's Equipment tab, or from the equipment record's Trips tab. Both create the same link. Before assigning equipment, the trip must already have schedules set up, because equipment cannot function without scheduled times.

Before You Start: Schedules Must Be Set Up First

Equipment will not work on a trip that has no schedule. WaveRez assigns tickets to equipment using the trip's scheduled time slots, so a trip with no times has nothing to attach the equipment to. Before assigning equipment, confirm both of the following on the trip at Resources > Trips > (select your trip) > Schedules:

  • At least one schedule time slot exists.

  • The Use schedule checkbox at the top of the Schedules tab is checked.

If a trip has no schedules or Use schedule is unchecked, equipment will not assign correctly and the trip will not show availability, no matter how the equipment is set up.

Why One Equipment Record Can Be Shared by Two Trips

A single equipment record can be assigned to multiple trips. For example, the same boat can serve both a "Dolphin Watching Cruise" trip and a "Private Dolphin Charter" trip. When two trips are assigned the same equipment record, a booking on one trip blocks that equipment for the overlapping time on the other. This is how WaveRez prevents the same boat from being double-booked across two different trips.

For this to work, both trips must be assigned the exact same equipment record. Two separate equipment records with similar names, such as "Boat Tour" and "Boat Tour 1," are treated as two different boats, even if they represent the same physical vessel. A booking on one will not block the other. If availability is not blocking across two trips that should share equipment, the cause is almost always that each trip is assigned a different record rather than the one shared record.

How to Assign Equipment from the Trip's Equipment Tab

This method assigns equipment while working inside a single trip.

Step 1 — Go to Resources > Trips and select the trip you want to assign equipment to. The trip opens to its configuration tabs.

Step 2 — Click the Equipment tab. The tab displays any equipment already assigned to the trip, each shown as a card.

Step 3 — Open the Choose equipment dropdown near the top right of the Equipment tab. The dropdown lists every equipment record available in your account.

Step 4 — Select the equipment record you want, then click Add equipment. The equipment is added to the trip and appears as a new card on the Equipment tab.

Step 5 — Review the Max Places field on the equipment card. Max Places is the maximum number of guests that piece of equipment can hold. It is pre-filled from the equipment record's default, and you can edit it here for this trip only. Editing Max Places on a trip card changes it for this trip alone and does not affect the same equipment on other trips.

Step 6 — Click Save Changes at the top right of the trip. The equipment assignment is saved to the trip.

How to Assign Equipment from the Equipment Record's Trips Tab

This method assigns one equipment record to multiple trips at once, and it is the most reliable way to make two trips share the exact same record.

Step 1 — Go to Resources > Equipment and select the equipment record you want to assign. The equipment record opens to its General and Trips tabs.

Step 2 — Click the Trips tab. The tab shows a checklist of every trip in your account, with a Select all option at the top.

Step 3 — Check the box next to each trip that should use this equipment. To make two trips share this exact record, check both trips here. The count at the top updates to show how many trips are selected.

Step 4 — Click Save at the top right of the equipment record. Every trip you checked is now assigned this same equipment record, so a booking on one of those trips blocks the equipment for the overlapping time on the others.

After Assigning Equipment: Update Max Tickets on the Schedule

Adding equipment to a trip does not automatically raise the trip's per-time availability. The Max Tickets value on the Schedules tab sets how many tickets can be sold for each time slot, and it does not change on its own when you add equipment. If you add equipment but leave Max Tickets as it was, the new equipment's capacity will not be usable, because the per-time limit is still set to the old, lower number.

After assigning equipment, go to Resources > Trips > (select your trip) > Schedules and update Max Tickets on each time slot so it matches the trip's total equipment capacity:

  • For rentals, where each piece of equipment holds one rental at a time, set Max Tickets to the number of equipment pieces assigned. Five jet skis means Max Tickets of 5.

  • For tours or public per-seat trips, where equipment holds many guests, set Max Tickets to the combined total of seats across all assigned equipment. Two boats at 50 seats each means Max Tickets of 100.

Click Save Changes after updating the schedule. Per-time availability now reflects the equipment you assigned.

⚠️ Important: Adding equipment does not raise Max Tickets automatically. When you assign new equipment to a trip, the Max Tickets value on the trip's Schedules tab does not update on its own. You must raise Max Tickets on each time slot to match the trip's total equipment capacity, then save. For rentals, Max Tickets should equal the number of equipment pieces. For tours or public per-seat trips, it should equal the total number of seats across all assigned equipment. If Max Tickets is left too low, the added equipment will not be bookable.
