Book Multiple Boats or Rental Units on a Single Order

How to book more than one boat, jet ski, or rental unit on the same order, both while creating a new order and when adding another boat to an order that already exists.

Overview

In WaveRez, one person can book several boats on a single order. Each private or single-capacity unit (for example, a jet ski or a private boat) is booked as its own ticket tied to its own equipment, so booking four boats means adding four tickets, one per unit, not raising the quantity on a single ticket. This is different from shared, per-person trips (such as a group cruise on one large boat), where you raise the Amount on one ticket to add more guests. This article covers both situations: booking multiple boats while creating a new order, and adding another boat to an order that already exists. It applies to any partner who rents jet skis, pontoons, kayaks, or other single-capacity equipment and needs more than one unit on the same order, booking, or reservation.


Can One Person Book Multiple Boats on a Single Order, Booking, or Reservation?

Yes. One customer can book as many boats as you have available on a single order (also called a booking or a reservation). How you do it depends on the trip type, because WaveRez counts capacity two different ways.

For shared or per-person trips, such as a group sunset cruise where many guests ride the same boat, you book one ticket and raise the Amount field to the number of guests. That is one boat, one ticket, many guests.

For private or single-capacity trips, such as a jet ski rental or a private boat, each unit holds one ticket. You cannot raise the Amount on a single ticket to book a second boat. Instead, you add a separate ticket for each boat and assign a different piece of equipment to each one. To book four jet skis, you create four tickets and assign Jet Ski 1, Jet Ski 2, Jet Ski 3, and Jet Ski 4. All four sit on the same order under one customer.

This is the most common point of confusion. Raising the Amount adds guests to a shared boat, but it does not add boats for rentals. For rentals, more boats means more tickets.

⚠️ Important. For private or single-capacity rentals (jet skis, private boats), you cannot book a second boat by increasing the Amount on one ticket. Each boat must be added as its own ticket with its own equipment assigned. Raising the Amount only adds guests to a shared, per-person trip.


Book Multiple Boats While Creating a New Order

When you create a new order and the customer wants more than one boat, you add the additional boats on the Tickets/Options tab. The path depends on whether the extra boat is the same trip type or a different trip type.

Add Another Boat of the Same Trip Type Using Add New Tickets

Use this when the customer wants more than one unit of the same rental (for example, two jet skis on the Jet Ski Rental trip). Each boat is its own ticket row with its own equipment assigned.

Step 1 — On the Tickets/Options tab, set the first ticket row. Choose the ticket type in the Ticket dropdown, then set the Equipment dropdown to the first unit (for example, Jet Ski 1). Leave Amount at 1, because each rental unit holds one ticket. The order subtotal shows the price of one boat.

Step 2 — Click the blue Add new tickets button at the top-right of the Tickets section. A second ticket row appears below the first one.

Step 3 — In the new row, choose the ticket type in the Ticket dropdown, then set the Equipment dropdown to a different unit (for example, Jet Ski 2). The subtotal updates to include both boats. In the example below, adding a second jet ski moves the subtotal from $100.00 to $200.00 (W/ Tax 7% $214.00).

Step 4 — Repeat Step 2 and Step 3 for each additional boat. Click Add new tickets again, choose the ticket type, and assign the next available unit (Jet Ski 3, Jet Ski 4, and so on). Each new boat adds its price to the subtotal.

Step 5 — Continue through the rest of the order as usual. Click Next to move to the Contact/Payment Info tab, enter the customer, and complete the booking. All of the boats are recorded on the same order under one customer.

Add a Boat from a Different Trip Type Using the Cart

Use this when the additional boat belongs to a different trip type than the one already on the order (for example, adding a Pontoon Boat Rental to an order that already has a Jet Ski Rental). The cart, labeled Manage Order Items, is where you add a different trip type during order creation.

⚠️ Important. Finish all cart changes before you enter customer contact information. Every time you click Update Cart, WaveRez refreshes the form and clears anything you have typed into the contact fields. Add all trips and finalize the cart first, then enter the customer details.

Step 1 — On the Contact/Payment Info tab, click the cart icon in the top navigation bar. The Manage Order Items modal opens and lists every trip currently on the order.

Step 2 — Click Add Trip at the top of the modal. A trip selection panel opens where you can choose the additional trip type, date, time, and equipment.

Step 3 — Configure the new trip. Select the trip, choose the date and time, and assign the Equipment for that boat.

Step 4 — Click Update Cart to save the change. The modal shows both trips, each as its own item with its own equipment, and the Total updates to include them.

Step 5 — Close the modal and finish the order. Enter the customer on the Contact/Payment Info tab and complete the booking. All trips are recorded on the same order.


Add Another Boat to an Order That Already Exists

When the order has already been created and is open in WaveRez Admin, always use the Add new trip button in the order view to add another boat. This is the simplest path, and it works whether the new boat is the same trip type or a different one, because Add new trip lets you select the trip and assign its own equipment.

Step 1 — Open the order. Click Orders in the left navigation menu and click View on the order, or open the Manifest and click the guest's name. The order details screen opens with the order header at the top and tabs for Overview, Customer Info, Trips, Payments, and more.

Step 2 — Click Add new trip in the top-right of the order header, next to the Quick pay button. A trip selection panel opens.

Step 3 — Select the trip, date, and time, then assign the Equipment to a unit that is not already on the order (for example, Jet Ski 3). Assigning a different unit is what makes this a second boat rather than a duplicate.

Step 4 — Save the order. The new boat is added and now appears as its own trip on the order. Because adding a boat increases the order total, a balance due appears on the order. WaveRez does not charge the card on file automatically, so you collect the additional amount on the Payments tab (covered in the next section).

How Payment Works When You Add a Boat to an Existing Order

WaveRez never automatically charges the card on file when you add a boat to an order that already exists. Adding a boat increases the order total and creates a balance due. You must collect that balance manually, using whatever payment method you choose.

Step 1 — After you add the boat and save, open the Payments tab of the order. The balance due reflects the price of the boat you just added.

Step 2 — Process the additional amount. Use Quick pay in the order header, or click Add Payment Type on the Payments tab, then select the payment method (credit card, cash, or another method) and process the charge.

Step 3 — Confirm the balance. Once the additional amount is processed, the Balance due returns to zero. Until you process it, the order continues to show a positive balance due.


Troubleshooting

  • You see the error "Chosen Equipment Is Not Available or Does Not Have Extra Places" when assigning a boat. This error appears when you try to assign a piece of equipment that is already booked or otherwise unavailable for that date and time, or when you try to assign the same unit to two ticket rows. WaveRez never allows the same equipment to be double-booked. To resolve it, choose a different available unit in the Equipment dropdown. To see exactly which units are open at that time, open the Daily Matrix for that date and check which equipment cells are available.

  • You increased the Amount but it did not add another boat. Raising the Amount field only adds guests to a shared, per-person trip on the same boat. For private or single-capacity rentals (jet skis, private boats), each boat is its own ticket. To book a second boat during order creation, click Add new tickets and assign a different unit. To add a boat to an order that already exists, use Add new trip in the order header and assign a different unit.

  • You can only assign one boat and the second row will not take a different unit. Each ticket row needs its own equipment. In the second row, open the Equipment dropdown and select a unit that is not already used on another row (for example, Jet Ski 2 instead of Jet Ski 1). If the unit you want is greyed out or missing, it is already booked at that time, and WaveRez will not allow it to be double-booked.

  • A customer wants more boats than you have units available. WaveRez can only book as many boats as you have equipment for at that time. If a customer wants more boats than your fleet has available for that time slot, you cannot place them all on the same time. Check the Daily Matrix for that date to see how many units are open, and book the remaining boats at a different time or date if needed.
