Show or Hide a Field on the Printed or Saved Waiver PDF

How to control whether a specific waiver field appears on the printed or saved PDF copy, on the on-screen details view, or both.

Every field on a WaveRez waiver has a display setting that controls where that field appears: on the printed or saved PDF copy of a completed waiver, on the on-screen details view, in both places, or in neither. This setting is found on each field inside Form Step Configuration when you edit a waiver. Most fields default to showing in both the details view and the PDF, but a few fields (Gender, the "Where did you hear about us" / Other field, and custom fields, Terms, Video, and Multiple Acknowledgment fields) default to not showing at all. Because a published waiver's form structure is locked, changing a field's display setting requires copying the waiver to a new draft, editing the field there, and publishing the new version as a replacement.

Where the Display Setting Lives

The display setting is a dropdown labeled Display in details / PDF. It appears on every individual field inside Form Step Configuration, directly below the Required toggle. "Details" means the on-screen waiver view that opens when you view a completed waiver inside WaveRez. "PDF" means the printed or saved copy a partner produces using the Save as PDF or Print buttons on a completed waiver.

Each field has its own Display in details / PDF setting, so you can show some fields on the PDF while hiding others.

What Each Display Option Does

The Display in details / PDF dropdown has several options. The four you will use most often are:

  • Show in details and PDF — The field appears on both the on-screen details view and the printed or saved PDF. This is the default for most fields.

  • Show only in details — The field appears on the on-screen details view inside WaveRez but is left off the printed or saved PDF.

  • Show only in PDF — The field appears on the printed or saved PDF but is left off the on-screen details view.

  • Do not show — The field is hidden from both the on-screen details view and the printed or saved PDF.

In plain terms: "details" controls the on-screen view, "PDF" controls the printed or saved copy, and each option turns the field on or off in those two places independently. To make a field appear on a printout where it currently does not, set that field to Show in details and PDF or Show only in PDF. To remove a field from a printout, set it to Show only in details or Do not show.

The dropdown also includes "when filled" variants, which show the field only when the customer actually completed it and hide it when left blank. Most partners do not need these.

Which Fields Are Hidden by Default

When you build a waiver, most fields default to Show in details and PDF, meaning they appear on both the on-screen details view and the printed or saved PDF without any change needed. A few fields default to not showing in either place. These are: the Gender field, the "Where did you hear about us" / Other field, and any custom fields, Terms, Video, and Multiple Acknowledgment fields.

If one of these fields is missing from a completed waiver's printout or on-screen details, the cause is usually the default display setting, not a system error. To make the field appear, edit the field's Display in details / PDF setting using the steps below.

How to Change a Field's Display Setting

A published waiver's form structure is locked, so you cannot edit a field's display setting on a live waiver directly. To change it, copy the waiver to a new draft, edit the field, and publish the copy as a replacement. New bookings then receive the updated waiver.

Step 1 — Open the waiver. Navigate to Waivers in the left menu and find the published waiver in the Active list.

Step 2 — Click the three-dot menu on the waiver and select Copy waiver. A name field appears. Type your name for the new copy here before creating it, because the internal Waiver name cannot be changed after the copy is created. WaveRez creates a duplicate in draft status carrying over the form structure and settings, but not the trip assignments.

⚠️ Set the name when you copy. The internal Waiver name cannot be edited after the copy is created. The copy defaults to "PREVIOUS NAME (copy)." Set the name you want in the name field at the moment you click Copy waiver. Including a version indicator (for example "Pontoon Waiver V2") makes revisions easier to track in your Waivers list.

Step 3 — Open the draft and find the field you want to change. Open the form step that contains the field, then open that field's settings in Form Step Configuration.

Step 4 — Set the Display in details / PDF dropdown. Choose Show in details and PDF or Show only in PDF to make the field appear on the printed or saved PDF. Choose Show only in details or Do not show to keep the field off the PDF. Click Save step.

Step 5 — Assign trips on the draft's Settings tab. Add the trips you want this new version to cover. These are typically the same trips currently on the original published waiver.

Step 6 — Save and publish. Click Save and choose Save and Publish. A confirmation modal warns that the form will be locked after publishing. Click Publish.

Step 7 — Resolve the trip conflict. The "Trip already uses a waiver" modal appears, listing the trips currently linked to your previous version. Click Publish and overwrite trips. WaveRez moves those trips to the new waiver, and new bookings on those trips receive the updated waiver with your changed display setting.

⚠️ Existing customers keep the old waiver. Customers who booked before you published the new version stay pinned to the version they were originally assigned. Their existing waiver links continue to work and continue to point at the original form. The changed display setting applies only to new bookings going forward.

Expected Outcome

After publishing the new version, any new booking on the affected trips receives the updated waiver. When those customers complete the waiver, the field you changed appears (or does not appear) on the printed or saved PDF and the on-screen details view according to the Display in details / PDF setting you selected. Customers who booked under the previous version keep that version and are unaffected.
