When customers complete their waivers, the submissions appear in two places: directly on the order they belong to, and in the Completed waivers list under the Waivers section. This article explains what each view shows, how to interpret the information, and how your team uses these views during check-in. The order Overview is the most important view for day-to-day operations because it groups completed waivers with the booking they belong to.
What the Order Overview Shows
Every order with a trip that has a waiver assigned displays a Signed in Guests section beneath the trip's details. The section's content changes based on whether anyone has signed yet.
Before any guest has signed: The Signed in Guests section displays the unique waiver link for the order, a copy button, a QR code button, and the message "No Guest Has Signed A Waiver Yet."
After guests start signing: Each completed waiver populates as an individual guest card. Cards display in the order they were submitted.
What Each Guest Card Shows
Each guest card on the order Overview includes the following information collected during their waiver:
Name, Date of Birth, Age: the basic identity fields the guest filled in
Email, Phone: the guest's contact info (only shown if they were configured to fill these)
Address: the guest's mailing address (only shown if configured)
Emergency Contact Name, Phone, Address: collected from drivers if your waiver includes emergency contact steps and conditions them to drivers only. Non-drivers will show blank emergency contact fields if those questions were not asked of them.
Medical Conditions: the guest's response to any medical conditions question, including any "Other" detail they typed in
Driver icon: a steering wheel icon appears next to any guest who indicated they would be driving. If multiple guests in a party are drivers, the icon appears on each of their cards. Icon color is determined by the Driver birth date field on the waiver's Settings tab. Drivers born on or after that date display yellow, drivers born before display black, and minor drivers display red.
View Waiver button: opens the full filled-out waiver, including any signature, uploaded driver's license photo, and complete responses to every step
Checked in checkbox: staff use this to mark the guest as checked in for their trip
How Staff Use the Order Overview at Check-In
The order Overview gives your team everything they need at the dock or rental counter without leaving the order. Common workflows are below.
Verify the driver. Look for the steering wheel icon on guest cards. The driver's age and license details are visible on their View Waiver popup. Match the photo ID to the customer in front of you.
Check medical conditions before the trip. The Medical Conditions field is visible on each guest card without opening the full waiver, so a quick scan tells you if anyone has flagged a condition.
Confirm everyone has signed. If the section says "No Guest Has Signed A Waiver Yet," no one in the party has completed their waiver. If some guests are missing, compare the booking party size against the number of guest cards. There is no separate missing-waiver indicator on the Manifest at this time, so the order Overview is the source of truth for who has and has not signed.
Mark guests as checked in. Tap the Checked in checkbox on each guest card as they arrive and complete their physical check-in (for example, having their ID confirmed or watching any in-person briefing).
Send the waiver link to a guest who has not signed. Use the copy button or QR code button at the top of the Signed in Guests section to share the waiver link directly. The guest can complete their waiver on their phone before the trip departs.
What the Completed Waivers Section Shows
The Waivers > Completed waivers page in the left navigation shows every waiver submission across all your orders, regardless of which order or trip they belong to. This is useful when you need to find a specific submission without going through the order list. For example, when a customer requests a copy of what they signed and you only have their name.
Each row in the Completed waivers list displays:
The guest's name, with a "(minor)" tag if applicable
The trip name, equipment assignment, and trip date
The order's confirmation number (linked to the order)
The signed-at timestamp
You can filter the list by trip and by arrival date using the controls at the top of the page. The global order search at the top of the WaveRez admin can also be used to find specific guests by name or by confirmation number.
How to View a Completed Waiver
To view a guest's full submission, you have two equivalent paths:
From the order Overview, click View Waiver on the guest card
From the Completed waivers list, click anywhere on the guest's row
Both paths open the same View Waiver popup. The popup displays every step of the waiver as the guest filled it in, including their signature and any uploaded photos (driver's license, selfie). This is the authoritative record of what the guest signed.
What Cannot Be Done with Completed Waivers
A few things worth knowing about the current Completed waivers experience:
Completed waivers cannot be edited, voided, or deleted. If a guest signed under the wrong name or filled in incorrect information, they will need to complete a new waiver.
Completed waivers cannot currently be exported as PDFs or downloaded in bulk. PDF and export capabilities are part of the WaveRez product roadmap.
The Manifest does not currently display waiver completion status next to each guest. Use the order Overview's Signed in Guests section to verify completion.
