Overview
The order details screen in WaveRez Admin is where you view and manage everything about a specific order — customer information, trip details, payments, refunds, notes, and activity logs. The screen is organized into seven tabs: Overview, Customer Info, Trips, Payments, Notes, Log, and Customer History. This article walks through each tab and explains what you can see and do on each one.
How to Access Order Details
There are two ways to open the order details screen:
From the Orders tab: Click Orders in the left navigation menu. The Orders list displays all orders sorted by Recently created by default. You can filter by Reservation Status or Source using the dropdowns in the upper-right corner, or use the Advanced search button to search by guest name, order number, or other criteria. Click the View button on the right side of any order row to open that order's details.
The screenshot below shows the Orders list in WaveRez Admin. The left navigation menu is visible with Orders highlighted. The list shows an order for "Amber Dudley" with the status Paid, trip name, equipment, order number, created and booked dates, total tickets, payment amount, and a teal View button on the right.
From the Manifest tab: Click Manifest in the left navigation menu. Navigate to the date the trip is scheduled for using the Prev day and Next day buttons at the top. The manifest shows all trips and guests booked for that date, organized by time slot and equipment. Click on the guest's name (shown as an underlined link) to open their order details directly.
The screenshot below shows the Manifest view for a specific date. The page heading reads Manifest with date navigation at the top. A trip called "Jet Ski Rental" is listed at 10:00am with equipment "Jet Ski 1." The guest "Amber Dudley" appears as a clickable link with their phone number, ticket details, totals, and payment information.
The Order Header
At the top of every tab in the order details screen, you will see a persistent order header that displays key information about the order:
Status badge (upper-left): Displays the current order status, such as Paid, Canceled, or New. This badge is clickable — clicking it opens the status change dialog where you can update the status of the entire order.
Guest name and order number: The guest's full name and the WaveRez order number (for example, EJH-1272187).
Created on / Booked for: The date and time the order was created, and the date and time the trip is booked for.
Total amount (upper-right): Shows the total amount due and the payment method (for example, Cash: $96.30).
Paid amount (upper-right): Shows the actual payment amount received.
Two action buttons appear in the upper-right corner of the screen: Add new trip (to add another trip to this order) and Quick pay (to quickly process a payment). At the bottom-right of every tab, you will see a red Delete order button and a teal Save button.
Overview Tab
The Overview tab is a read-only summary of the order. You cannot edit any information on this tab — it is for reference only.
The tab is divided into two sections:
Customer Overview displays the guest's contact and address information: First name, Last name, Email, Phone, Alternate phone, Address, City, ZIP / Postal code, State / Province, and Country. It also shows Confirmation email tracking with two indicators: Read (whether the guest opened the confirmation email) and Links clicked (whether the guest clicked any links in the email). These indicators display Yes or No in green or red text.
Trip(s) Overview displays a summary of each trip in the order, including the trip name, Arrival Date/Time, Equipment, Tickets/Options (ticket type, quantity, and price), Total amount, and Paid amount. Each trip also shows its own Reservation status badge (such as Paid) and Reminder Email tracking with Read and Links clicked indicators.
The screenshot below shows the Overview tab with both sections visible. The Customer Overview section displays contact information and confirmation email tracking showing "Read: No" and "Links clicked: No" in red. The Trip(s) Overview section shows a Jet Ski Rental trip with arrival date, equipment, ticket details, totals, and a Paid status badge.
Customer Info Tab
The Customer Info tab is where you can edit the guest's contact information and manage order communications.
Editable fields:
First name
Last name
Email
Phone
Promocode: A text field where you can enter a promo code and click the Apply button to apply it to the order.
Re-send order confirmation: A teal button that resends the order confirmation email to the guest's email address on file.
Do not send review email: A toggle switch that, when enabled, prevents the automated review request email from being sent to this guest.
At the bottom of the section, a Show details link can be clicked to expand additional customer information fields.
The screenshot below shows the Customer Info tab with the customer details form. The fields for First name, Last name, Email, and Phone are displayed with current values. Below them, the Promocode field appears with an Apply button. The Re-send order confirmation button and Do not send review email toggle are visible at the bottom.
Trips Tab
The Trips tab is where you manage the trip details for the order. If the order contains multiple trips, each trip will have its own section on this tab.
Each trip section includes:
Trip name and order reference number at the top of the section, with a View all customers on this tour link on the right
Arrival date: The date the trip is scheduled for (editable via a date picker)
Schedule time: The time slot for the trip (editable via dropdown)
Equipment: The equipment assigned to this trip (editable via dropdown)
Past reservation checkbox: Used to mark a reservation as past
Move trip button: Moves the trip to a different date or time
Reservation status dropdown with Save status button: Allows you to change the status of this individual trip (for example, from Paid to Canceled) without affecting other trips in the order
Tickets section:
Ticket dropdown: The ticket type (for example, "1 Hour Rental")
Booked: The quantity booked
Price: The price per ticket — this field is editable and is where you adjust pricing for partial refunds or price corrections
Total: The calculated total for this ticket line
Delete icon (red trash can): Removes the ticket from the order
Add new ticket button: Adds another ticket line to this trip
Options section:
Displays any options selected during the booking process
Add new option button: Adds an option to the trip
After making any changes on the Trips tab, click Save at the bottom-right of the screen. Changes to the Reservation status use the Save status button next to the dropdown instead.
Payments Tab
The Payments tab is where you view all payment and refund transactions for the order and where you process refunds and additional charges.
Payment Details section (top-right area):
Add Comp Ticket button: Adds a complimentary (free) ticket to the order
Add Payment Type button: Adds a new payment method to the order (used for collecting additional charges or split payments)
Payment type: Displays the current payment method (for example, Cash or a credit card type)
Actual payment amount: Displays the total amount actually collected
Below this, each payment transaction is displayed as a row showing:
Payment type (Cash, or card type with last four digits)
Amount (positive for payments, negative for refunds)
Invoice #
Date and time
Each payment row has action icons below it:
Refund arrow (circular rewind icon): Click to process a refund for this payment. A dialog will appear with the refund amount pre-filled. You can adjust the amount before confirming.
Print icon: Prints the receipt
Send copy of receipt button: Sends a receipt copy to the guest's email
If refunds have been processed, they appear as additional rows below the original payment with a negative amount, their own Invoice #, and a Date.
Trip pricing breakdown section (bottom of the tab):
Each trip in the order has its own pricing breakdown showing:
Subtotal
Discount
Tip
Tax(%): The tax percentage and calculated dollar amount — the percentage is editable on this screen for this order only by clicking the edit icon
Booking Fee(%): The booking fee percentage and calculated dollar amount — also editable on this screen for this order only
Total
Payment Amount
The screenshot below shows the Payments tab with a completed payment and a processed refund. The original Cash payment of $107.00 appears at the top with action icons below it (refund arrow and print). Below that, a refund of -$10.70 is listed as a separate transaction. The trip pricing breakdown section at the bottom shows the Subtotal, Tax percentage (editable), Booking Fee percentage (editable), and calculated totals.
Price breakdown panel (left sidebar):
On the left side of the Payments tab (and most other tabs), a persistent Price breakdown panel shows the running totals for the order: Tickets total, Discount, Subtotal, Tax, Booking fee, Total, Payment Amount, and Balance due. The Balance due field is color-coded — it shows green when zero, and changes when there is a positive (guest owes) or negative (you owe the guest) balance.
Notes Tab
The Notes tab provides an Internal Comment text field for each trip in the order. These comments are internal only — they are not visible to the guest. Use this tab to record notes about the order, special requests, or any information your team needs to reference. Comments made during the online booking process will also show here from your customer.
Log Tab
The Log tab displays a complete audit trail of every action taken on the order. Each log entry includes:
Item ID: The reference number for the specific trip or item affected
Log Text: A plain-language description of what happened (for example, "Changed ticket price from 110.00 to 90.00 for ticket 1 Hour Rental" or "Cash transaction has been refunded. Refund Amount: $10.70")
User: The name of the user who performed the action
Group: The user group (for example, Support)
Date: The date and time the action occurred
The log records everything: order creation, payment processing, price changes, status changes, confirmation emails sent, SMS messages sent, refunds, and any other modifications to the order. Entries are displayed in reverse chronological order (most recent at the top).
The screenshot below shows the Log tab with multiple entries. The log records a refund of $10.70, a status change to PAID, a ticket price change from 110.00 to 90.00, total recalculations, a status change to UNPAID, an earlier price change from 100 to 110, the original email and SMS confirmations sent, the initial cash payment, and the original reservation creation — all with timestamps, user names, and group labels.
This tab is particularly useful for troubleshooting — if you need to understand what happened on an order, when it happened, and who made the change, the Log tab has the full history.
Customer History Tab
The Customer History tab allows you to search for other orders placed by the same guest. This is useful if a returning guest has multiple orders over time and you need to reference a previous booking.
The tab displays a date range dropdown with three options: 1 Year to Date, 2 Years to Date, and 5 Years to Date. Select a date range and click the Find orders button to search for other orders from this guest within that time period.
