The Daily Matrix is a grid view of your entire operation for a single day — every trip, every piece of equipment, and every time slot on one screen. In addition to showing you what is booked and what is available, the matrix includes controls to close time slots, disable equipment, adjust ticket availability, turn off online booking, send messages to customers, and add internal notes. Most controls apply to the day you are currently viewing only. The exception is the gear icon on each equipment row, which applies across a date range you define. This article covers every control available in the Daily Matrix and when to use each one.
Open the Daily Matrix
In the left navigation menu, click Calendar, then click Daily (Matrix). The matrix opens showing the current date. Use the Prev day and Next day buttons at the top center of the screen to navigate to a different date. The date you are viewing is always displayed in bold between the navigation buttons.
Read the Matrix Grid
The matrix is organized into sections — one section per trip. Each section shows the trip name and its operating hours in the header bar (for example, "9:00am – 6:00pm Jet Ski Rental"). Inside each section, equipment items appear as rows and time slots appear as columns. Each cell in the grid represents one piece of equipment at one specific time.
Cell colors tell you the status of that equipment at that time:
Green — capacity is available. The number in the cell reflects how many spots remain. A cell showing "40" on a piece of equipment with 50 capacity means 10 are already booked and 40 remain. Hovering over a green cell reveals a list of names for any existing bookings at that time slot — click a name to go directly to that order's detail screen. Clicking the cell itself opens the new order form.
Red — fully booked, no remaining capacity. The cell displays the guest name. Clicking a red cell takes you directly to that order's detail screen.
Yellow — maintenance mode. The equipment has been taken offline for this period. Existing bookings that were placed before maintenance mode was applied still display in yellow, but the cell is not clickable. To access an order sitting on a yellow block, find it through the Orders list.
⚠️ Closed time slots do not appear in the matrix by default. If a time slot has been disabled, its column disappears from the grid entirely — it does not show as gray or unavailable, it is simply gone from view. To see disabled time slots you must use the three-dot menu. This is covered in the next section.
Close a Time Slot for the Day — and How to Find It Again
Each time slot column has a toggle slider directly below the availability count. Sliding this toggle off closes that time slot for that trip for the current day.
⚠️ When you close a time slot, its column disappears from the matrix immediately. It does not turn gray or show as unavailable — the column is hidden from view entirely. To see it again, click the three-dot menu (⋮) on the trip header bar and select Show Disabled Schedules. Disabled time slots will reappear in the grid and you can slide the toggle back on to reopen them.
There is one situation where toggling a time slot back on from the matrix will not work. If a time slot was disabled at the trip level in Resources > Trips > Schedules — meaning it was never active to begin with or was turned off in the trip's default settings — it will appear in the matrix when you select Show Disabled Schedules, but the toggle will have no effect. To re-enable a time slot that was disabled at the trip level, you must go to Resources > Trips, open the trip, navigate to the Schedules tab, and re-enable it there.
Today only: Closing a time slot using the matrix toggle applies to the day you are currently viewing only. The time slot returns to its normal availability the following day. For changes that need to apply across multiple days, use Calendar Controls.
Change the Number of Available Tickets at a Specific Time
Each time slot column has a pencil icon below the toggle slider. Clicking the pencil icon opens the Change available tickets modal for that time slot. The modal displays:
The time slot the change applies to, shown at the top (for example, "10:00am")
Tickets — the total number of tickets available at this time. Change this number to increase or reduce availability.
Min tickets — the minimum number of tickets required per booking at this time.
Add / Remove ticket to selected time — a list of all ticket types configured for this trip, each with a checkbox and its price (for example, "2 Hour Rental — $180.00" and "1 Hour Rental — $100.00"). A checked ticket type is available for booking at this time. Unchecking a ticket type removes it from availability at this time slot without affecting other time slots.
Click Confirm to save your changes or Cancel to close without saving.
Today only: Changes made in this modal apply to the day you are currently viewing only. The following day reverts to your default ticket availability. For changes across multiple days, use Calendar Controls.
Disable a Piece of Equipment for the Day
Each equipment row has a toggle slider at the left side of the row, next to the gear icon. Sliding this toggle off puts that equipment into maintenance mode for the entire day — the affected time blocks turn yellow in the matrix. When equipment is in maintenance mode, nothing can be booked through those yellow blocks — not by customers online and not by staff creating internal orders.
If there are existing orders on that equipment from before maintenance mode was applied, those orders remain and display as yellow blocks in the matrix. They are not automatically moved or cancelled. Staff must handle those orders manually — either by moving them to different equipment or cancelling them. Yellow blocks are not clickable in the matrix. To access an order sitting on a yellow block, find it through the Orders list.
To re-enable the equipment for the day, slide the toggle back on. The yellow blocks clear and the equipment becomes bookable again.
Today only: The equipment row toggle applies to the day you are currently viewing only. The equipment returns to normal availability the following day. To take equipment offline across multiple days, use the gear icon instead.
Take Equipment Offline Across Multiple Days
Each equipment row has a gear icon to the left of the toggle slider. Clicking the gear icon opens the Open or close out equipment availability modal. This control applies across a date range you define — not just today. When active, the affected equipment is placed into maintenance mode and the yellow blocks appear in the matrix for every day within the date range.
The modal contains:
The date it was opened from, displayed at the top
From and To date fields — set the start and end date for the closure
Schedules dropdown — optionally limit the closure to specific time slots. If left blank, the closure applies to all schedules across the full day.
Close equipment — closes the equipment for the selected date range
Open equipment — reopens equipment that was previously closed
As with the daily toggle, any existing orders on the equipment during the closed period are not automatically moved or cancelled. Staff must handle those manually through the Orders list.
Turn Off Online Booking for One Trip
Each trip section has an Enable toggle on the right side of its header bar. When the toggle is on, the trip is active and customers can book it online. When you slide the toggle off, the header bar turns red and the trip is removed from your online booking portal for that day. Staff can still create internal orders for that trip — this only affects what customers see online. Slide the toggle back on to restore online availability.
Turn Off Online Booking for All Trips at Once
In the top right corner of the Daily Matrix — above all trip sections — there is a global Enable toggle. Sliding this toggle off disables online booking for every trip on this day simultaneously. This is useful when you need to close your entire operation quickly. Sliding it back on re-enables all trips for online booking at once.
Today only: The global Enable toggle applies to the day you are currently viewing only.
Send a Message to Customers on a Specific Day
The three-dot menu (⋮) on each trip header bar contains a Send Message to Customers option. Clicking it opens the Add message for customers modal, which lets you send an SMS, email, or both to customers booked on that trip for that day. The modal contains:
Choose customer(s) — defaults to all customers booked on this trip for this day. Remove individual customers from the selection if needed.
A message text field with a 100-character limit
Send SMS, Send Email, and Send Both radio buttons
Cancel and Send Message buttons
Click Send Message to send. The message goes only to the customers selected in the Choose customer(s) field.
To send a message to customers across all trips on this day at once, use the three-dot menu (⋮) at the top right of the matrix — above all trip sections — and select Send Message to Customers. The same modal opens but defaults to all customers booked across all trips for this day.
Add an Internal Note for the Day
The three-dot menu (⋮) on each trip header bar contains an Add New Note option. The global three-dot menu at the top right of the matrix contains the same option. Clicking Add New Note opens the Add a note modal with a text field (180-character limit) and Cancel and Save buttons. Notes are internal — customers never see them. The note persists and is visible to your staff any time this date is open in the Daily Matrix, making it useful for shift reminders, weather alerts, or anything your team needs to know about that day.
Troubleshooting
A time slot I closed is gone and I cannot find it to turn it back on. Closed time slots disappear from the matrix by default. Click the three-dot menu (⋮) on the trip header bar and select Show Disabled Schedules. The hidden time slot will reappear and you can slide its toggle back on. If the toggle has no effect after the slot reappears, the time slot was disabled at the trip level in Resources > Trips > Schedules and cannot be re-enabled from the matrix — go to Resources > Trips, open the trip, and re-enable it on the Schedules tab.
I disabled equipment for the day but there are bookings on it. Maintenance mode does not automatically move or cancel existing orders. Any orders that were on the equipment before maintenance mode was applied remain in place and display as yellow blocks in the matrix. Yellow blocks are not clickable — find the affected orders through the Orders list and move or cancel them manually.
Equipment I put into maintenance mode is still showing as bookable on some days. Confirm the date range in the gear icon modal covers all the days you intended. Navigate through the matrix day by day to verify the yellow blocks appear on each affected date. If a day is missing, reopen the gear icon modal and adjust the To date.
I can see a yellow block but I cannot open the order from it. Yellow maintenance mode blocks are not clickable in the matrix. To access an order on a yellow block, go to the Orders list and search for the customer or order number.
The time slot toggle is green but the time is not showing as available online. A green toggle means the time slot is open in the matrix, but it does not guarantee the time is available for online booking. Tickets available at that time may be restricted or set to internal only. Check the ticket settings for that trip under Resources > Trips > Tickets and confirm at least one ticket type is available for online booking at that time.
