Overview
WaveRez offers three ways to close or open a schedule, each with a different scope. The daily matrix slider closes a single time slot for a single trip on a single day. The default schedule disable under Resources > Trips > Schedules permanently disables a time slot across the entire schedule. The Open/Close Schedules Calendar Control closes or opens time slots across a date range, days of the week, and selected schedules in one action. All three methods close the schedule for both online booking and internal staff. The only way to keep a schedule open internally while closing it to online customers is to use the Disable Trips for Online Booking control, which works at the trip level rather than the schedule level.
The most important rule to understand: a schedule disabled by default under Resources > Trips > Schedules cannot be opened by any Calendar Control. Default disable always wins. Beyond that one rule, opening and closing schedules in WaveRez is straightforward. Each method is reversible using the same tool that performed the closure, with the daily matrix requiring an extra step to surface disabled time slots back into view.
Which Method to Use
The right method depends on the scope of the closure and how long it should last.
Use the daily matrix slider when:
The closure applies to today (or a specific single day visible in the matrix)
The closure applies to one trip and one time slot
Quick same-day action is needed, for example, weather cancellation or a one-off equipment issue
Use the default schedule disable when:
A time slot should be permanently removed from the schedule going forward
The time slot is being retired and should never be sold again
The change should override every Calendar Control, present and future, for that time slot
Use the Open/Close Schedules Calendar Control when:
The closure or opening applies to a future date range, for example, a holiday week, a seasonal close, or a planned maintenance period
Multiple schedules need to be closed or opened in one action
The closure needs to apply to specific days of the week within a date range, for example, every Sunday for the next two months
A previous closure across a date range needs to be reversed in bulk
⚠️ Critical Rule: Default Schedule Disable Overrides Calendar Controls A schedule disabled by default under Resources > Trips > Schedules cannot be opened by the Open/Close Schedules Calendar Control or any other Calendar Control. Default disable always wins. To reopen a schedule that was disabled by default, the disable checkbox must be unchecked on the Schedules tab under Resources > Trips.
Close a Schedule for a Single Day Using the Daily Matrix
The daily matrix at Daily (Matrix) shows every trip's schedules and equipment for one day at a time. Each time slot has a toggle slider that closes that specific time slot for that specific trip on that specific day. When toggled off, the time slot disappears from the matrix view. Closing a time slot here affects both online booking and internal staff equally.
Step 1 — Navigate to Daily (Matrix) in the WaveRez Admin and use the Prev day and Next day buttons at the top to move to the day that needs a schedule closed. The matrix displays each trip as its own panel, with time slot columns across the top and equipment rows below.
Step 2 — Locate the time slot column to close within the relevant trip's panel. Each time slot column has a toggle slider directly beneath the time and availability label.
Step 3 — Click the toggle slider for the time slot to switch it off. WaveRez immediately closes the time slot for that trip on that day. The time slot disappears from the matrix view and a Data saved! confirmation appears at the bottom of the screen. The time slot is now closed to both online customers and internal staff for the rest of that day.
Reopen a Closed Time Slot on the Daily Matrix
Once a time slot is toggled off on the daily matrix, it disappears from view. To reopen it, the disabled time slots must first be surfaced back into view using the Show Disabled Schedules option, and then the toggle for that time slot must be switched back on.
Step 1 — Navigate to Daily (Matrix) in the WaveRez Admin and use the Prev day and Next day buttons to move to the day where a time slot was previously closed.
Step 2 — Click the three-dot menu icon in the top right corner of the trip panel that contains the closed time slot. A dropdown menu opens with options including Send Message to Customers, Add New Note, and Show Disabled Schedules.
Step 3 — Click Show Disabled Schedules. The previously closed time slot reappears in the matrix view, displayed with its toggle slider in the off position.
Step 4 — Click the toggle slider for the disabled time slot to switch it back on. WaveRez reopens the time slot for that trip on that day. The time slot is now available to both online customers and internal staff again.
Permanently Disable a Schedule Using the Default Schedules Tab
To remove a time slot from a trip's schedule permanently, disable it on the Schedules tab under Resources > Trips. Disabling a schedule here removes it from every future day and overrides any Calendar Control that tries to open it. This is the most powerful closure method in WaveRez and should only be used when a time slot is being retired or restructured.
Step 1 — Navigate to Resources > Trips in the WaveRez Admin and click the trip whose schedule needs to be disabled. The trip's configuration screen opens with several tabs across the top.
Step 2 — Click the Schedules tab. A list of every time slot configured for this trip appears, each with editable fields and a disable checkbox.
Step 3 — Locate the time slot to disable and check its Disable checkbox.
Step 4 — Save the changes. WaveRez disables the time slot immediately. The time slot is now removed from every future day on the daily matrix and the booking portal, and it cannot be reopened by any Calendar Control. To reopen the time slot in the future, return to the Schedules tab and uncheck the Disable checkbox.
⚠️ Default Disable Cannot Be Overridden by Calendar Controls Once a schedule is disabled on the Schedules tab under Resources > Trips, no Calendar Control can reopen it. Attempting to open the schedule using the Open/Close Schedules Calendar Control will have no effect. The only way to reopen a default-disabled schedule is to return to the Schedules tab and uncheck the Disable checkbox.
Close or Open Schedules for a Date Range Using the Open/Close Schedules Control
The Schedules Open/Close control is found under Calendar Controls and is used to close or open schedules across a future date range, specific days of the week, and one or more selected schedules in a single action. This control affects both online booking and internal staff equally. Because it works as a simple open or close action, reversing it is straightforward: rerun the same selection and choose the opposite action.
Step 1 — Navigate to Calendar Controls > Schedules Open/Close in the WaveRez Admin. The Schedules Open/Close screen opens with selection fields for Activity, Schedules, Date Range, Days, and a pair of radio buttons labeled Close all schedules and Open all schedules. The Schedules Open/Close screen displays an Activity panel at the top with dropdowns for Activity and Schedules, a pair of radio buttons below for Close all schedules and Open all schedules, a Date Range panel with Date from and Date to fields and an Add new range option, and a Days panel at the bottom with checkboxes for each day of the week.
Step 2 — Select the trip from the Activity dropdown. The list of schedules configured for that trip becomes available in the Schedules dropdown.
Step 3 — Click the Schedules dropdown and check each time slot that should be closed or opened. Multiple schedules can be selected at once. The selected times appear comma-separated in the dropdown display field.
Step 4 — Select either Close all schedules or Open all schedules using the radio buttons. Close all schedules closes every selected schedule across the chosen date range and days. Open all schedules opens every selected schedule across the chosen date range and days, reversing any prior Open/Close Schedules close action.
Step 5 — Set the date range in the Date from and Date to fields. Both dates are inclusive. To apply the same action across multiple non-consecutive date ranges in one session, click Add new range and enter additional ranges.
Step 6 — In the Days panel, confirm or adjust which days of the week the action should apply to. By default, all seven days are checked. Uncheck any day that should be excluded. For example, uncheck Monday through Friday to close schedules only on weekends. Use Unselect all to clear all days and select only the specific days needed.
Step 7 — Click the action button in the bottom right of the screen. The button label changes based on the radio button selection: it reads Close Schedules when Close all schedules is selected, and Open Schedules when Open all schedules is selected. WaveRez applies the action immediately. Every selected schedule across the chosen date range and days is now closed (or opened) for both online customers and internal staff.
Expected Outcome
After toggling a time slot off on the daily matrix, that single time slot is closed for that trip on that day only. The slot disappears from the matrix view and is unavailable to both online customers and internal staff until reopened via the Show Disabled Schedules option.
After checking the Disable checkbox on the Schedules tab under Resources > Trips and saving, the time slot is permanently disabled across every future day and cannot be reopened by any Calendar Control. It can only be reopened by unchecking the Disable checkbox on the same Schedules tab.
After running the Schedules Open/Close control with Close all schedules, every selected schedule across the chosen date range and days is closed for both online customers and internal staff. Running the same selection again with Open all schedules fully reverses the closure.
Troubleshooting
Symptom: A time slot was closed on the daily matrix and now cannot be found to reopen it. Cause: Time slots closed on the daily matrix disappear from the matrix view by default. They are not deleted, only hidden until surfaced again using the Show Disabled Schedules option.
Resolution: On the daily matrix, navigate to the day where the time slot was closed. Click the three-dot menu icon in the top right corner of the relevant trip panel and select Show Disabled Schedules. The closed time slot reappears with its toggle in the off position. Click the toggle to switch it back on and the time slot is reopened for that day.
Symptom: The Open/Close Schedules Calendar Control was used to open a schedule, but the schedule still appears closed on the booking portal and matrix. Cause: The schedule is disabled by default on the Schedules tab under Resources > Trips. Default disable always overrides Calendar Controls. No Calendar Control can open a schedule that is disabled at the default level.
Resolution: Navigate to Resources > Trips, click the affected trip, and open the Schedules tab. Locate the time slot and uncheck its Disable checkbox. Save the changes. The schedule is now active and any Open/Close Schedules control will apply to it as expected.
Symptom: An Open/Close Schedules close action was applied to the wrong date range or days. Cause: The selection in the Date Range or Days panel did not match the intended scope.
Resolution: Return to Calendar Controls > Schedules Open/Close. Reselect the same Activity and Schedules, set the Date Range and Days that should be reversed, and select Open all schedules. Click Open Schedules to fully reverse the previous close action. The same control can be used in either direction, so reversing a mistake is straightforward.
Symptom: A time slot closed on today's matrix is still showing closed tomorrow on the matrix. Cause: The matrix slider only closes a time slot for the specific day it was toggled on. If tomorrow's matrix shows the same time slot closed, it was closed independently, either by another matrix toggle on tomorrow's view, by an Open/Close Schedules control covering tomorrow's date, or by a default disable on the Schedules tab.
Resolution: First check tomorrow's matrix for a disabled toggle using Show Disabled Schedules on the relevant trip panel. If the time slot is not toggled off there, check Calendar Controls > Schedules Open/Close for any active close range covering tomorrow's date. If neither applies, check Resources > Trips > Schedules to confirm the time slot is not disabled by default.
