Overview
You can download a CSV spreadsheet of your completed waiver data from the Waivers > Completed waivers page in WaveRez Admin using the Export CSV button. The export contains one row per completed waiver and includes each guest's name, date of birth, email address, phone number, the trip and equipment they were booked on, their arrival date and time, and the date and time they completed the waiver. The export respects whatever filters you have applied to the page, so filtering by trip or by arrival date before you export narrows the file to just those waivers. The export downloads immediately as a CSV file with no date range prompt. Important limitation: the CSV contains contact and booking data only. It does not include signatures, emergency contacts, medical conditions, driver status, addresses, custom question answers, or order numbers, so the CSV is not a substitute for the individual waiver records themselves.
Prerequisites
You need a WaveRez Admin login with access to the Waivers section. You need at least one completed waiver, because the export only contains waivers guests have actually finished and signed. You also need a spreadsheet application such as Microsoft Excel, Apple Numbers, or Google Sheets to open the downloaded CSV file.
Download a Spreadsheet of Your Waivers, Waiver List, or Waiver Report
Step 1 — Click Waivers in the left menu of WaveRez Admin, then click Completed waivers. WaveRez Admin opens the Completed waivers page and displays every waiver submission across all your orders, one row per guest.
Step 2 — Filter the list to the waivers you want, if you do not want all of them. Use the Trip dropdown at the top left of the page to limit the list to a single trip, and use the Arrival date selector at the top right to limit the list to a date range. The export respects these filters, so whatever is showing on screen after you filter is exactly what lands in your spreadsheet. Skip this step to export every completed waiver in your account.
Step 3 — Click Export CSV in the top right corner of the Completed waivers page. WaveRez immediately downloads a CSV file to your computer with no further prompt. There is no date range window and no email delivery. The file is named using a results prefix followed by the export date, for example results.2026-08-28.
Step 4 — Open the downloaded CSV file in your spreadsheet application. The file contains one header row followed by one row per completed waiver.
What Information the Waiver Export Contains
The CSV contains eleven columns. In plain terms, each row gives you one guest's name, date of birth, email address, and phone number, plus which trip and which boat or rental unit they were booked on, when their trip was scheduled to arrive, and when they finished signing their waiver. The remaining columns are internal WaveRez reference numbers.
Column | What it contains |
arrivalAt | The scheduled date and time of the guest's trip |
birthDate | The guest's date of birth, in MM/DD/YYYY format |
completedAt | The date and time the guest finished signing, given in UTC |
The email address the guest entered on their waiver | |
inventory | The boat, vehicle, or rental unit assigned to the booking |
firstName | The guest's first name |
lastName | The guest's last name |
phoneNumber | The phone number the guest entered on their waiver |
productId | The internal WaveRez ID number of the trip |
sellerId | The internal WaveRez ID number of your account |
waiverId | The internal ID of the specific waiver version the guest signed |
Two timestamp details matter when you work with this data. The completedAt column is given in UTC, not your local time zone, so a waiver signed at 2:42pm Central appears as 19:42 UTC. The arrivalAt column carries no time zone marker and reflects your business's local trip time.
The productId, sellerId, and waiverId columns are internal reference numbers rather than anything customer facing. waiverId identifies which version of a waiver the guest signed, which is useful when you have replaced a waiver and want to know who signed the old version and who signed the new one.
What the Waiver Export Does Not Contain
The CSV export is a contact and booking list, not a copy of your waiver records. The following information a guest provides on their waiver is not included in the export at all: signatures, uploaded photos such as driver's license images, emergency contact name, phone, and address, medical conditions, driver status, mailing address, gender, how the guest heard about you, and the answers to any custom questions or acknowledgements you added to your waiver.
The export also does not include an order number or confirmation code, so a row in the spreadsheet cannot be traced directly back to a specific order. The closest available match is combining the productId, arrivalAt, and guest name columns.
⚠️ The CSV export is not a records-retention tool. If you need a complete copy of what a guest actually signed, including their signature, acknowledgements, and any medical or emergency contact information, the CSV export will not give you that. Open that guest's completed waiver and click Save as PDF in the top right corner of the View Waiver popup to save the full record. WaveRez saves PDFs one waiver at a time, so a request covering multiple guests means saving each guest's waiver individually.
⚠️ Exported waiver data is personal information. The CSV contains guest names, dates of birth, email addresses, and phone numbers. Once the file is on your computer it is outside WaveRez, so store it securely, limit who on your team can open it, and delete copies you no longer need. A guest signing a waiver is not by itself consent to be added to a marketing list.
Troubleshoot Waiver Export Problems
Clicking Export CSV downloaded a file with no waiver rows in it
The export contains only waivers guests have actually completed and signed. Waiver links that were sent but never opened, and waivers a guest started but abandoned partway through, do not appear in the export. Check the Completed waivers page itself: if the on-screen list is empty, the export will be empty too. Also confirm your Trip filter and Arrival date range are not excluding the waivers you expected, because the export respects whatever filters are applied to the page.
The export is missing waivers I can see elsewhere in WaveRez
The export respects the Trip filter and the Arrival date range applied to the Completed waivers page. Clear both filters, confirm the full list appears on screen, then click Export CSV again. Also note that the Arrival filter works on the trip's arrival date, not on the date the guest signed, so a guest who signed today for a trip three months out falls outside a narrow arrival date range.
The signed times in the export do not match the times shown in WaveRez
The completedAt column is given in UTC, not your business's local time zone. A waiver signed at 1:42pm Central time appears in the export as 18:42 UTC. Convert from UTC to your local time zone when comparing the export against what you see on screen in WaveRez.
The export does not include emergency contacts, medical conditions, or signatures
This is expected. The CSV export contains contact and booking data only. Signatures, uploaded photos, emergency contact details, medical conditions, driver status, addresses, and custom question answers are not part of the export in any configuration, and no setting turns them on. To get that information for a specific guest, open their completed waiver and click Save as PDF in the top right corner of the View Waiver popup.
I need PDF copies of every waiver for a trip and the export gave me a spreadsheet instead
Export CSV produces a spreadsheet of waiver data, not PDF copies of the waivers themselves. There is no bulk PDF download in WaveRez. To produce PDF copies for a group, filter the Completed waivers page to the trip and date you need, then open each guest's waiver and click Save as PDF in the top right corner of the View Waiver popup, one guest at a time.
